Scope of Management Services

1.Maintain individual ledger accounts for each member on which are posted all debits and credits.

2. Provide payment coupons for assessments; provide estoppel information on assessment balance to closing agents on new owners and refinance loans; provide underwriter with Association's information; provide appraisers with Association's information.

3. Mail past due notices to all members who are delinquent in payment of assessments according to the Association's documents and collection policy established by the Board; post late/administrative fees; turn account over to attorney for legal proceedings according to the Board policy including filing of liens and foreclosures.

4. Receive, deposit, disburse and account for all Association's funds.

5 Prepare monthly financial statements including income and expense statement with budget comparison, balance sheet, disbursement register and account reconciliation statement.

6. Provide individual  member(s) with records or financial statements upon written request.

7. Coordinate annual audit or review of the Association's financial records, by a Certified Public Accountant of the Association's choice.
If required by the Association's Board, reproduce and mail copy of the year end financial statements to all members of the Association (cost of copies to be paid by Association).

8. Coordinate financial information and supervise the completion and submission of Federal and State Corporate Tax Forms and State Intangible Tax Forms.  Annually renew the Association's State of Florida Uniform Business Report.

9. Prepare and mail notice of Association's annual general membership meeting.

10. Maintain a complete record of all financial documents.

11. Assist directors in preparation of annual budget and reserve schedule to be submitted to the Board of Directors no later than December 1 or as otherwise directed.

12. Maintain all official records of the Association, including covenants, correspondence files, insurance policies, minutes of meetings of the Association, etc.

13. Attend four (4) Board of Directors meetings per year and or general business meetings of the Association, plus one (1) annual meeting per year.

14. Mail to all members meeting minutes, meeting notices and agenda.

15. Prepare, reproduce and distribute general announcements and other information to all members.  Printing and postage to be paid by the Association.

16. Receive and coordinate response to all correspondence addressed to the Association.

17. Assist Board of Directors in enforcing the Association's Covenants, Conditions and Restrictions by preparing and mailing appropriate violation notices.  Assist Board of Directors with appropriate notice and action should a violation progress to the fine hearing process.  Manager will perform monthly inspections and send violation letters based on inspection.

18. Receive and coordinate response to calls and letters received from owners/residents concerning violation notices and fine hearing procedures.

19. Act as Registered Agent for the Association and provide office location for process service purposes (foreclosure's of member's mortgages and any other legal proceedings).

20. Act as the Association's liaison with others such as developers, governmental agencies, attorneys, and Realtors.  Provide Board of Directors with changes in laws and regulations relating to Homeowner's Association.

21. Receive maintenance requests from individual board or committee members and when such requests meet approved guidelines, prepare and issue purchase requests, follow-up on requests and inspect work as required.

22. Process accounts payable and maintain records.

23.Management Company shall obtain competitive bids and make contract awards as agreed or instructed by the Board of Directors.  All contracts shall be signed by a member of the Board of Directors.  Management Company agrees to supervise contract compliance and disburse Association's funds for contracted services. 
Verify and obtain all service/vendor licenses and insurance prior to initiation of work.
